Managed IT Cost Calculator

Enter your team size, server count, number of offices and preferred support level to get an indicative monthly managed-IT cost range. Switch on add-ons like Microsoft 365 management, cybersecurity, cloud backup and compliance support to build out a fuller picture. Then see how that compares against the estimated annual cost of unplanned IT downtime — one of the most under-counted expenses in break-fix IT.

Cost of not having managed IT

Unmanaged, break-fix IT carries a hidden cost: unplanned downtime. The model below estimates what that costs your business per year in lost staff productivity alone — before counting data loss, reputational damage or emergency call-out fees.

How to use this tool

  1. Enter your number of staff using the slider or the number field — this is the biggest driver of the estimate.
  2. Add your server count (physical or virtual) and the number of physical offices or sites your business operates from.
  3. Select your preferred support level: Essential (business-hours reactive), Standard (proactive monitoring), or Premium (24/7 with strategic vCIO).
  4. Toggle any add-ons that apply — Microsoft 365 management, managed cybersecurity, cloud backup and compliance support each add a per-user cost.
  5. Read your indicative monthly range and per-user figure in the results panel. The ±12% band reflects real-world variability across different environments.
  6. Check the downtime comparison panel — it shows your estimated annual downtime cost against managed IT spend, so you can weigh the investment in context.

FAQ — Questions

Frequently asked questions

01How accurate is this estimate?

This calculator gives a directionally correct indicative range — useful for budgeting conversations and board papers — but it cannot account for the specifics of your environment. Factors like the age and complexity of your infrastructure, whether you have existing vendor contracts, the number of applications managed, your industry's compliance obligations and geographic spread all affect real pricing. A proper assessment with one of our engineers will give you a scoped, fixed-price proposal rather than a range. The ±12% band shown deliberately reflects that variability.

02What's included in managed IT?

Managed IT (or MSP — Managed Service Provider) covers the ongoing management of your technology infrastructure so your team can focus on the business. At Peritus Digital that typically includes: remote monitoring and management of workstations and servers, patch and update management, helpdesk support (Essential: business hours; Standard: proactive; Premium: 24/7), vendor liaison, asset lifecycle tracking, and regular reporting. Add-ons like Microsoft 365 management, cybersecurity (EDR + email), cloud backup and compliance work are priced separately because not every business needs all of them.

03What does 24/7 support actually mean?

In our Premium tier, 24/7 refers to after-hours monitoring and on-call incident response for critical infrastructure events — not unlimited after-hours helpdesk calls. If a server goes down at 2 am on a Sunday, our monitoring detects it and an on-call engineer is alerted immediately. Routine helpdesk requests (password resets, software questions) are still handled during business hours or the next available session. Critical security incidents (ransomware, active breach) are also treated as 24/7 emergencies at all tiers, because we'd rather know about them straight away.

04How do you price for real?

Our actual proposals are scoped after a discovery call and environment assessment — usually 30–60 minutes with one of our engineers. We look at the number of seats, servers, applications, network complexity, current pain points and your growth plans. We then produce a fixed-monthly proposal with clear inclusions and a defined response SLA. There are no hidden "per-incident" call-out fees for in-scope work.
